Job Title: Administrative Assistant
Position Summary: Provides administrative support to the organization at all levels.
* Provide front desk cover in both offices, including phone coverage, greeting clients, lunch orders, filing, outgoing and incoming mail, overnight deliveries, meeting set-up, and produce/bind documents.* Manage PO spreadsheet and company credit card reconciliation. * Set up conference room and order food for the company meeting and provide backup support for PowerPoint slides. * Input and update company contact information in Outlook. * Assist with the onboarding of new employees including desk set-up, ordering nameplates and business cards. * Manage Store merchandise queries and employee store points. * Maintain and publish the Employee Directory and Employee Birthdays and Anniversaries. * Perform administrative tasks for partners and staff when required, such as, printing, proofreading, and assisting with company event preparation and wellness and outreach activities. * Order and restock office and kitchen supplies. Competencies: Technical * Excellent MS Outlook and MS Office Suite proficiency. * Excellent written and verbal communication skills. * Ability to manage multiple priorities and achieve deadlines while managing regular interruptions. * Strong problem solving and organizational skills. * Familiarity with A/E/C Industry - preferred * Vendor management experience - preferred Personal * Excellent organization and time management skills * Ability to maintain focus while managing interruptions throughout the workday * Ability to professionally interact with external clients both in person and via phone * Ability to interact with all levels of the company * Team Player * High energy professional * Ability to maintain confidentiality * Ability to evaluate and improve existing assignments and processes - preferred. Education and Experience: * High School graduate with 2-4 years of experience in a professional environment. * Two year Associates Degree or equivalent - preferred. * Five years Administrative Experience - preferred.
