Position Overview

Tilcon CT is seeking an Administrative Assistant who will play a critical role in supporting the Executive Assistant and our corporate headquarters across all administrative functions including travel coordination, meeting scheduling, upkeep of contacts and meeting notes as well as other ad hoc projects. The ideal candidate must have strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple priorities.

Roles and Responsibilities

  • Screen incoming calls and determine the level of priority, while using caution in dispensing information
  • Assist with the coordination and logistics of both internal and external meetings; assist with organizing all aspects for offsite conferences and external events, including catering, materials, etc.
  • Communicate with internal team members and external partners on behalf of the Company.
  • Organize meetings, including booking conference room space, ordering catering, organizing and facilitating agendas, preparing materials, and ensuring the availability of attendees.
  • General office duties.
  • Assist other departments as requested or assigned.
  • Assist with ordering supplies and creating purchase orders
  • Regular and timely attendance required.
  • This position will be in New Britain and Newington locations with occasional travel to other sites

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty

Education/Experience Required
  • High School diploma or General Education Degree (GED) with 5+ years of practical work experience.
  • Any equivalent combination of experience and training that provides the preferred knowledge, skills and abilities.

Knowledge/Skill Requirements
  • Strong communication skills, both written and verbal.
  • Highly ethical, accountable, and able to maintain confidentiality at all times.
  • Attention to detail and accuracy in all work performed.
  • Knowledge of office procedures
  • Proficient in Microsoft Office and Outlook
  • Professional demeanor with the ability to interact with individuals at all levels of the organization.
  • Able to multi-task and work well under strict deadlines in a fast-paced environment.
  • Ability to deal effectively with questions or problems, seeking assistance when needed.
