A.T. Still University's Arizona School of Health Sciences (ATSU-ASHS) invites applications for a part-time (0.5 FTE), non-exempt Administrative Assistant on the Mesa, Arizona campus. This position will report to the Occupational Therapy Department Chair and provide comprehensive administrative support for the OT Department. The Administrative Assistant will handle daily operational/programmatic tasks pertaining to the MSOT/OTD programs, faculty and students.
Job Duties:

  • Assist with daily operations for the OT Programs under the oversight and supervision of the OT Department Chair.
  • Assist with every day requests, documents, phone calls, schedule meetings, appointments, events etc. -Place updated information on calendar’s, vacations, conferences, meetings etc.
  • Update OT department common calendar to maintain currency
  • Fields residential student questions & refers student to necessary personnel or resource
  • Prepare data-driven reports and other written documentation as directed by the Department Chair.
  • Assist with recruitment, admissions, and scheduling for the various education programs
  • Handle check requests and purchase orders; monitor budget line item expenditures
  • Prepare files for Student Rating of Teaching for Fall and Spring semester.
  • Process orders upon request for lab supplies and other department purchases.
  • Coping, scanning, placing order for supplies, proctor testing, mailings, binders. Day to day requests.
  • Manage emails from potential student applicants (call back or email back: discuss with potential applicant about interests, answer questions, advisement).
  • Process Employee requisition and status request forms for adjuncts/lab assistants/new employee.
  • Process payment for external entities-contracted services and accreditation fees.
  • Organize NBCOT workshop in May.
  • Assist with events planning e.g., OT orientation; White coat; Pinning; Social events for students; duties include placing food order and organizing room for event.
  • Engage in/assist with/coordinate special projects as assigned by the OT Department Chair.
Skills/Requirements:
  • Two to three years of college (bachelor's degree preferred).
  • Preferred training in technology use.
  • Strong interpersonal and communication skills (including phone and email as well as face-to-face).
  • Computing skills and facility with data-base creation and management, Microsoft Office, and experience with the use of Learning Management Systems in higher education.
  • The staff must be comfortable with learning different software systems and working with technology in general.
  • Preparation of spreadsheets is a required skill. Know how to retrieve information from Campus Nexus.
  • Prior administrative experience in an academic environment, preferably in a higher education setting.
  • Service oriented experience (including resolution of problems and conflicts), strong computer and database management skills; strong written communication skills; project implementation and coordination experience.
  • Experience with Microsoft Word/Excel and Qualtrics. Experience in running reports in a student management system.
  • Excellent people and overall communication skills including writing; ability to create, revise, edit and populate databases and spreadsheets;
  • Computer literacy with experience using programs related to university/education contexts;
  • Ability to multi-task and prioritize workload based upon admin. support needs of a diverse group of faculty and students;
  • Self-starter who takes initiative yet understands need to check-in with supervisor;
  • Pays attention to detail as required according to the task.

  • Organizational skills.
  • Ability to shift attention between tasks and ability to track one's work and productivity.
  • Ability to work well with a diverse group of faculty, students, staff, alumni and professionals in the community.
