SUMMARY:

The Assistant to the Vice President for Inclusion and Belonging provides a wide variety of administrative, secretarial, and program support to the Vice President and the Office of Institutional Equity & Inclusion, including serving as the primary point of contact for the office. Provides administrative support for the Vice President of Inclusion and Belonging, the Office of Institutional Equity & Inclusion, and the committees on which the Vice President and Director of the Office of Institutional Equity & Inclusion serve or chair. This role is also responsible for the oversight, planning, and execution of meetings and events hosted or co-hosted by the Vice President and the Office of Institutional Equity & Inclusion.

RESPONSIBILITIES:

Provides administrative support

  • Develops and coordinates administrative processes and work routines for the office
  • Provides support for the Vice President and the Director for the Office of Institutional Equity & Inclusion, to include screening and handling telephone and email communications, greeting and directing visitors.
  • Deals with administrative problems and inquiries, and resolves routine and highly complex administrative issues.
  • Creates and manages expense reports and reconciles purchasing card statements and receipts.
  • Oversees the monthly budgets for all departments reporting to the Vice President.
  • Coordinates office supplies.
  • Manages the Vice President and Director's calendars and books travel as necessary.
  • Responds to meeting requests for the Vice President and under the direction of the Vice President responds to requests to attend, speak and/or present at meetings and events on and off campus.
  • Keeps the Vice President and Director apprised of important deadlines, events, assignments, and meetings.
  • Sorts and filters incoming correspondence for the office and the Vice President; responds to and/or routes as appropriate.
  • Supports and staffs the Board of Trustees DEIB Committee, including preparation of materials and minutes
Plans meetings and events
  • Plans and schedules meetings on behalf of the Vice President and the Office of Institutional Equity & Inclusion, including reserving space, arranging catering where necessary, and assisting with agendas, programming, guest speakers, etc.
  • Allocates time in advance of important meetings and presentations for the Vice President and Director to prepare, materials, reports, etc.
  • Plans, schedules, and provides logistical assistance for events hosted or co-hosted by the Vice President and Director.
  • Coordinates campus visits with consultants, vendors, and special visitors including scheduling, booking accommodations, meeting space, and all logistics associated with visit.
  • Lends assistance at Inclusion and Belonging events and activities, as needed.
Assists the Vice President with the preparation of reports, materials, presentations, memos, correspondence, filing and other documents for distribution to a variety of audiences
  • Assists the Vice President with proofreading reports, letters, proposals, and memos.
  • Drafts correspondence for the Vice President and prepares letters for signature.
  • Using best office practices, manages and organizes the electronic filing system (Box) for documents related to the office.
  • Assists the Vice President with preparation of meeting agendas, materials, reports, etc. and distributes as appropriate.
QUALIFICATIONS:
  • Knowledge of planning and scheduling techniques.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to work occasional overtime, including evenings and weekend events.
  • Word processing and/or data entry skills.
  • Ability to create, compose, and edit written materials.
  • Knowledge of office management principles and procedure.
  • Ability to coordinate and organize meetings and/or special events.
  • Ability to build strong relationships and networks with colleagues and departments across campus.
  • Ability to manage complex projects.
  • Ability to work independently, efficiently and accurately; perform duties with considerable degree of autonomy.
  • Attention to detail, organized, thorough, and consistent with follow through
  • Ability to handle confidential information.
  • Expert skill level with Microsoft products, including Outlook, Word, Excel, and PowerPoint; and Adobe Acrobat is required.
  • Ability to troubleshoot problems with office equipment and software programs.
EDUCATION & EXPERIENCE:
  • High school diploma or equivalent required.
  • Bachelor's degree preferred.
  • Minimum 4+ years of administrative experience in a fast-paced environment, preferably in a higher education setting and/or supporting a senior level executive.
WORK HOURS:
  • Full-time, non-exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week; occasional overtime, including evenings and weekend events.
SALARY STRUCTURE:

Pay Grade 5 (Hiring Range $18.79 to $24.90 per hour)
