Position Summary:

The person in this role will have ownership of and be the main point of contact for benefits and 401k plans (including compliance reporting) and all related inquiries, as well as assist with various reporting requirements to ensure compliance with vendor, federal, state, and local laws.

You will also be responsible for the accurate and efficient weekly and bi-weekly processing of all events related to benefits and be a back-up to payroll-related duties as needed. This includes assisting with the day-day questions and processing of both hourly and salaried employees who have questions, issues, or changes, as well as making adjustments to plans/new hire enrollments.

Job Duties:

Benefits Responsibilities-

  • Lead 401k plan administration to ensure correct plans are in place and in compliance / in accordance with plan documents, annual audit and non-discrimination testing, approval of plan transactions (loans, distributions), ensuring accurate payroll deductions, timely contribution funding, QDRO administration, employee status changes, SPD updates, distribution of compliance notices.
  • Handle questions from employees regarding benefits (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, travel and accident plan, flexible spending plan, retirement plans, etc.)
  • Run custom reports as needed (financial, MZB Group reporting, custom, compliance-related)
  • Liaison between employee and benefit vendors to resolve issues.
  • Participate in new hire orientations as needed - providing payroll and benefit education and assisting with HRIS registration and benefit enrollment.
  • Coordinate annual Open Enrollment (OE), lead broker reviews, provide input on benefit plans, develop and distribute employee communications, system set-up for ADP employee self-service, facilitate OE meetings, perform benefit deduction audits, and close.
  • Administer employee benefit plans: medical, dental, vision, life, FSA and disability insurance to include ensuring timely system updates for personnel changes, qualifying events, distribution of plan notices, processing claims, disability appeals, 3rd party sick pay and compliance testing.
  • Review and reconcile carrier benefit invoices.
  • Assist with MZB clinic administration and company wellness program.
  • Develop an annual calendar of wellbeing activities to engage employees in our benefits.
  • Prepare department correspondence, respond to agency requests, create and distribute employee benefit
reports as needed.
  • Coordinate transfer of electronic data feeds to external vendors for newly eligible employees, termination of benefits, services, premiums, and plan administration.
  • Responsible for overall administration and compliance for all NA benefit programs, including medical/dental/vision plans, LTD, STD, 401(k), wellness, etc.
  • Assures benefits are in compliance with the provisions of the Employee Retirement Income Security Act (ERISA) and that appropriate reports (forms 5500) are filed timely with the Internal Revenue Service and annual retirement audits are completed timely; assures compliance with Department of Labor requirements and prepares responses to plan audits if necessary.
Payroll Responsibilities-
  • Assist with special reporting related to benefits and payroll using ADP/HRIS tools; maintain accurate and updated employee information in HRIS system - includes maintaining confidential payroll, timekeeping, and personnel records
  • Partner and collaborate with Payroll teams and act as a back up as needed to help handle employee inquiries and resolve issues, such as clocking in / time and attendance and communication with supervisors, as well as employees
  • Assist with processing a variety of payroll information (direct deposits, W-4's, garnishments, bonuses, retirement contributions, disability payments, benefits and other deductions)
  • Assist with timely departmental, financial, tax, and payroll reports for both internal and external requests
  • Prepare for and assist external auditors by providing supporting documentation and information on internal departmental processes
  • Perform reporting requests from internal and external clients, including tax-related information, non-taxable wages, and leave
Qualifications & Requirements:
  • Bachelor's Degree or equivalent work experience in HR a manufacturing environment required
  • Five years' experience in benefits administration / processing role
  • Expertise with ADP WorkforceNow (or similar payroll platform) required
  • Must have some experience processing payroll in an environment that clocks in/out (preferably on a weekly basis and with over 100 employees)
  • Must be well-versed in all compliance-related practices relating to benefits
  • Experience with time/leave administration required
  • Must be extremely organized and capable of prioritizing multiple high priority projects at a time
  • Excellent verbal and written communication skills (imperative that communication back to employees is strong and detailed)
  • Must have strong analytical and problem-solving skills, as well as detail-oriented
  • Must have strong reporting capabilities (HRIS experience or efficiencies with Pivot Tables)
  • Working knowledge of HR policies and procedures, payroll tax and compliance laws, and ability to keep information confidential
  • You must have a desire to be engaged with the employees at all levels of the organization and focused on building relationships to provide "best in class" service for internal customers
