About the Department:

The Dedman College Dean's Office provides leadership for and support to faculty, staff, and students in the Humanities, Social Sciences, and Natural Sciences and Math departments. Dedman College is SMU's largest and most academically diverse academic unit.

About the Position:

The Coordinator manages processes pertaining to academic personnel hiring, credentialing, compensation, evaluation, and promotion, ensuring adherence to institutional policy in all aspects. Monitors, identifies trends and helps ensure efficiency (e.g., adjunct staffing levels, section sizes, summer offerings) for contingent instructional budget and communicates with units to facilitate adherence to budget. Assesses and monitors college administrative operations to identify inefficiencies and errors. Works within the college as well as with other stakeholders (OIT, Provost's office, Budget and Finance, etc.) to help coordinate, develop, communicate, and implement new systems and procedures to correct problems. Monitors course enrollments prior to classes and works with departments to adjust for under-enrolled classes. Assists departmental administrative assistants regarding policies and procedures for areas under the responsibility of the Associate Dean for Research and Academic Affairs. Provides administrative support to the Associate Dean, including calendar, travel and expenses, and certain correspondence and record-keeping.

Essential Functions:

  • Supports the recruitment, hiring, and advancement of academic personnel. Works with departments, centers, investigators, and processing offices to ensure compliance with SMU policies and procedures, secures documentation approval, organizes reviews, and facilitates career management. Generates hiring contracts and maintains personnel records.
  • Monitors college and departmental administrative processes. Identifies needs, deficiencies, and areas where processes can be automated or streamlined to improve productivity. Facilitates improvements by instigating process conversion, systems development, continued assessment with training, maintenance, and improvement of those systems. Shares oversight of monthly academic administrative staff meetings.
  • Helps ensure that college administrative processes (e.g., HR, A/P) are in compliance with institutional policy. Works with SMU processing offices to provide clear interpretation to the college of policies and procedures, training and procedural guidelines to processing offices, department chairs, faculty, principal investigators, and administrative staff; identify areas where policies and procedures can be clarified & improved.
  • Serves as first reviewer/approver for faculty, teaching, and student-related payment requests falling under the purview of the Senior Associate Dean, including reimbursement/payment requests, ePAFs for adjunct faculty/temporary staff/student workers, electronic extra compensation requests for full-time faculty and staff, and entertainment management requests for department events.
  • Shares in oversight of the Dedman College Administrative Staff: Provides supervision and training related to college and University policy and procedure, assists in the recruitment, training, and evaluation of lead departmental administrative assistants in sixteen Dedman College departments, as well as other various programs and centers. Provides ongoing guidance, problem-solving, and direction to facilitate staff productivity.
  • Maintains academic files and generates related information/statistics. Manages credentialing, enrollment tracking, teaching load reports, faculty memoranda of completion, supervisory instructor reports, departmental policies, faculty overloads, and miscellaneous reports. Develops, establishes, and maintains an electronic document management system, then oversees and trains staff and student workers to utilize the system.
  • Supports the Senior Associate Dean in overseeing the college budget for adjunct faculty expenditures. Manages adjunct faculty requests and hiring processes, ensuring adherence to the budget allowance for sixteen departments and various other centers/programs in Dedman College. Develops forms and tracking systems to ensure budget compliance; performs cost analysis and comparison reports to assist the Dean and Senior Associate Dean in decision making.
  • Supports the Senior Associate Dean for Research & Academic Affairs. Manages payment request and expense approvals for college, advises on policies & procedures, produces reports essential to decision making, supports special committees chaired by Senior Associate Dean. Composes/distributes correspondence, arranges meetings, prepares meeting materials and minutes, and manages calendar and travel. Coordinates activities and materials for Dean's Research Council grant program, and the Dean's Graduate and Interdisciplinary Graduate Fellowships.
  • Provides secondary support to the Dean of Dedman College and Associate Dean for Curricular Affairs. Produces contracts and correspondence, advises regarding policies and procedures, produces informational reporting essential to decision making, provides training, consultation and support to other Deans' assistants regarding policy and procedures and performs other duties as assigned.
  • Occasional evening or weekend hours may be required to address urgent issues that may arise or during key periods of personnel contracting.


Qualifications

Education and Experience:

A Bachelor's degree is required. A Master's degree is preferred.

Five or more years of experience in an academic setting required; experience with the intricacies of university policy, faculty contracts, the review/promotion process, and other responsibilities relating to a university-level academic setting strongly preferred.

Knowledge, Skills and Abilities:

Candidate must have strong writing, proofreading, conceptual and analytic skills. Must be very detail-oriented in order to draft error-free analyses and documents at the executive level, and to track budget expenditures.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills. Must be able to handle multiple projects with competing deadlines, and maintain strict confidentiality.

Proficiency in Microsoft Word, Excel, Outlook, Power Point, as well as Adobe Acrobat Pro, are required.

Proficiency in Microsoft Access, my.SMU.edu (including generation of queries), Site Core, Digital Measures, and Time Access preferred.
