Job Summary

Development Coordinators are the last line of defense against errors. It is up to this position to double check every detail, triple check every document, and ensure total accuracy

Department Specific Responsibilities

  • Updates databases that support fundraising functions, record keeping financial audit data, recording meeting minutes, and being or becoming familiar with a variety of IU and IUF databases a necessity in this role.
  • Assists with various events will be required. Events range from local to out of state and vary in size. Travel is not required as part of this responsibility
General Responsibilities
  • Performs administrative tasks in support of the university's development and advancement efforts and may interact with officers across all development and advancement job families, as well as donors, the general public, and representatives across the university and university community.
  • Tasks may include answering phone calls and emails, maintaining and updating donor databases, scheduling events and travel for donor interaction and solicitation, preparing and sending digital and direct mail solicitations, preparing documentation of pledged and received gifts, and coordinating stewardship and donor recognition activities.
  • Compiles metrics, facts, and general operations information about IU and its schools and departments for distribution to donors.
  • Prepares and updates basic and complex reports and presentations for use by other development staff, engaging supervisor for help as needed.
  • Provides an excellent donor experience through customer service, active listening, inclusive language, and thoughtful and persuasive discussion, consistently upholding the integrity and mission of Indiana University.
  • May provide guidance to lower-level Development Coordinators.

Qualifications

EDUCATION

Required
  • High school diploma or GED
WORK EXPERIENCE

Required
  • 4 years experience in fundraising/development, administrative,a higher education foundation, or related field
Preferred
  • Experience with professional letter writing, ABA standards, and email best practice
Combinations of related education and experience may be considered

  • Exhibits organized approached to project and process management, effective boundary communication and adherence, and the ability to delegate and prioritize with team members
  • Ability to anticipate requests based on schedule of development visits and events. Have a plan A and a plan B in place as often as possible
  • Works independently, and in collaboration with team members and a variety of internal and external constituencies
  • Ability to write and speak professionally
  • Ability to interact with a variety of constituents from students to high level executives. Ability to know when to be personable and friendly versus strictly formal in writing and speech a must as well
  • Ability to interact with internal and external constituent
  • Ability to build rapport, exchange pleasantries, and build relationships is crucial in this role
  • Ability to stay calm and centered in a fast-paced work environment and high stress situations is important in this role. Adjustments to plans will occur and difficult persons and situations will arise. The ability to stay calm despite these circumstances is crucial in this role and throughout this team
  • Uses discretion is a must due to exposure to confidential information and delicate situations. Ability to act with tact and maintain confidentiality internally and externally
  • Ability to boldly and proactively seek out answers, suggest remedies, creatively problem solve, imaginative thinking, navigate daily curve balls, and propose solutions a plus in this role
  • Tenacity and grit are important characteristics for Development Coordinators to possess
  • Ability to bounce back from failures and bad days, pivot from adversity, and build tolerance
  • Change is constant, and it is important for this role to maintain a positive attitude towards change, disruption, disappointment, etc.
  • Demonstrates leadership in their role.
  • Ability to self-manage and self-reflect is key to establish goals, examine workflow and contribute to special projects
  • Ability to take initiative, give instructions, and be accountable for results is crucial
  • Ability to learn from others and develop a deep understanding of the Development Coordinator role and how it and other team roles contribute to the overall fundraising success of the department
  • Exhibits a drive of both personal and team continuous improvement
  • Possesses a genuine desire to be in the fundraising profession and understand the impact it has on students, the school, and the community

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
