SUMMARY

  • Provide support in the development of an effective sales plan and perform advanced administrative and analytical duties under limited supervision of the department executive.
  • Essential duties and responsibilities include the following. Other duties may be assigned.
  • Maintain bookings flash and other related reports.
  • Administrate sales incentive plan.
  • Maintain outside sales representative agreements in conjunction with sales vice president.
  • Develop and order various promotional items for distribution to customers.
  • Compose and type confidential correspondence, between the Company and its customers, on pricing and negotiations of large million dollar contracts.
  • Type memos, presentations, reports and meeting minutes. May be required to record and transcribe dictation.
  • Maintain effective communications with the Company customer base through in-person and telephone contacts to maintain good relationships as assistant to the sales force.
  • Screen and resolve complex telephone calls and first level problems.
  • Maintain staff itineraries, schedule meetings and make travel arrangements. Organize and maintain confidential department files.
  • Maintain status of departmental administrative functions such as budget/special reports, analyzing and preparing statistical reports, performance appraisals, and goals using appropriate PC based software and/or mainframe based systems.
  • If applicable, organize and prepare expenses for supervisor.
  • If applicable, order, organize and disburse entertainment tickets for customer use; verify invoices and allocate charges to the correct person and division.
  • Prepare notices, distribute and make arrangements for all customer visitations.
  • Oversee the development of visitation notices by other department secretaries and maintain corporate procedure and template.
  • Assist sales force in maintaining an accurate customer database.
  • Follow ISO procedures utilizing the appropriate work instructions and forms.
  • Share ideas about process improvements and other cost saving measures with management.
Qualifications:

Education:
  • Associate's degree or equivalent from two-year college or technical school; or five to seven years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization
  • Ability to calculate figures and amounts such as discounts, interest, commissions, percentages, and volume. Ability to apply concepts of basic algebra and geometry. Must be able to handle large spreadsheets with basic mathematical, statistical and logical functions embedded.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Proficient in PC based software including MS Office programs / Outlook / network usage. Must have prior work experience in preparing complex documents. Accuracy is essential. Must be a team player.
