Job Title: Executive Aide of Health Programs

Campus Location: Morristown Campus (Employees are assigned to a "home" location but may occasionally or regularly be required to work at other WSCC locations.)

Job Purpose: The overall purpose of this job is to serve as Aide to the Dean and work with other office staff to coordinate the activities of the Division of Health Programs.

Essential Job Functions:

  • Provides administrative services and provides timely, courteous, and knowledgeable response to information requests. Coordinates student workers including preparation and submission of their work reports to financial aid. Maintains confidentiality in all situations. Maintains the division calendar including the calendar of the dean. Works with Distance Education and HR to coordinate FLAC and letters of intent.
  • Prepares and maintains admission application for the Health Programs Division. Works with department heads/program directors to schedule student orientations and coordinates the development of current departmental handbooks. Works with department to schedule advisory meetings and records minutes for the division, faculty, department, and advisory committees including re-admission meetings. Works with departments to coordinate forms for national accreditation's including self-studies and annual reports. Works with OPRA and IET to generate and maintain reports. This includes the EMS scheduling, IPad cart request and other technical programs.
  • Supports purchasing efforts for the division and the seven departments to include process, track, handle receipts, and distribution of orders as well as process travel requests, reimbursements, blanket travel and car reservations.
  • Course schedule entry including times, faculty, and room assignment. This includes exception contracts and faculty workload. Maintains the division book adoption.
  • May perform other duties as assigned.

Required Qualifications:

  • Associate's Degree in Office Administration, or related field
  • Previous office/program management experience, plus 2-4 years of related experience.
  • Working knowledge of budgeting and fiscal responsibility.
  • Working knowledge of computer software and standard office equipment (PC, phone, fax, email, copier, etc.), video conferencing systems, and Microsoft Office Suite.
  • Excellent organizational, written communication, and multi-tasking skills.

  • Knowledge of college policies and procedures.

Environment & Working Conditions: Office environment is temperature controlled with occasional fluctuations. May be exposed to varying conditions when traveling to various work locations.

Physical Demands (including requirements for travel or working nights/weekends/holidays):

  • Ability to travel by motor vehicle.
  • Standing for extended periods of time.
  • Siting for extended periods of time.
