Position Overview:

As an Executive Admin, you will provide administrative support to the designated ELT member in conjunction with other responsibilities as necessary to support all the Executives and needs of the business.

Responsibilities:

The successful individual will be expected to:

  • Perform diverse administration functions requiring confidentiality, initiative, and sound judgement
  • Responsible for answering phone calls, reviewing incoming correspondence, mail, organizing
    and preparing confidential pre-read and communication for executive meetings
  • Coordinate travel for executive flights, hotels, rental cars, car transport, visas, passport, etc. for both domestic and international travel needs
  • Manage the designated ELT calendar and schedule recurring meetings and other meetings
    as necessary
  • Collaboration with other Executive and Departmental Administrative Assistants; this includes partnering to schedule meetings, organize dinners and events, facilitating access to company sites, providing backup coverage, etc.
  • Interface professionally with all levels in the organization
  • Assist with on-boarding of new team members
  • Validate Credit Card Expenses and complete monthly expense reports
  • Utmost confidentiality in dealing with Most Confidential data
  • Upkeep of filing and Records Management
  • Perform other miscellaneous job-related duties as requested such as event planning, support for large cross functional meetings, team off-sites, catering and clean up
  • Work on problems of diverse scope where both data analysis and judgement is required
  • Availability out of hours to handle priority business, events and crisis situations

Experience and Qualifications Required:

Basic Qualifications:
  • Minimum ten (10) years of experience as a proven professional assistant, with a minimum five
    (5) or more years of experience supporting executive levels in a fast-paced technical environment
  • Highly proficient in Outlook, Word, PowerPoint, Excel, and One Note
  • General knowledge of One Drive and
  • Experience with SAP / Ariba / Concur
  • Have a proactive approach to problem-solving with strong decision-making skills.
  • Must be adaptable and able to meet deadlines in a fast-paced quickly changing environment
  • Demonstrate strong organizational skills that reflect ability to perform and prioritize multiple complex tasks seamlessly with excellent attention to detail
  • Proven experience interacting with staff at various levels
  • Proven excellent communication, grammar, and proofreading skills both oral and written
  • Proven ability handling sensitive matters with integrity & discretion
    Must have legal authorization to work in the US on a full-time basis for anyone other than
    current employer
  • Time management skills with the ability to prioritize and handle multiple tasks while working in a fast-paced environment
Preferred Qualifications:
  • Bachelor's degree from an accredit university; preferred but not required
Experience working in the oil and gas industry
