Ultimate Staffing is seeking a highly professional and personable Front Office Assistant to join a renowned private school recognized as one of the top elementary programs in Orange County!

As the first point of contact for students, parents, and visitors, the Front Office Assistant plays a critical role in providing exceptional customer service and ensuring the smooth operation of the school's administrative functions.

**We are ONLY seeking candidates who can start Full-Time IMMEDIATELY (we will NOT accept any applicants who require a 2-week notice).**

Location: Fully onsite in Lake Forest, CA 92630

Job Type: Temp-To-Hire (will transition to permanent employment upon completion of hours)

Schedule: FULL-TIME (8AM - 5PM), Mon-Fri

Essential Responsibilities:

  • Greet and welcome visitors, students, and parents with a friendly and professional attitude.
  • Manage the front desk area, ensuring it is neat, organized, and represents the school's high standards.
  • Answer and direct incoming calls, emails, and inquiries promptly and courteously.
  • Provide accurate information to visitors and callers regarding school policies, programs, events, and procedures.
  • Assist with student registration, enrollment, and scheduling processes, ensuring all necessary forms and documents are completed accurately and efficiently.
  • Coordinate school calendars, schedules, and events, including arranging meetings, conferences, and appointments for school staff, teachers, and administrators.
  • Collaborate with teachers and staff to support daily operations, including distributing messages, materials, and supplies as needed.
  • Assist with maintaining student records and ensuring confidentiality and data protection.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist with general administrative tasks, such as filing, photocopying, and maintaining office supplies inventory.
  • Provide support during emergency situations, including following school safety protocols and assisting with evacuation procedures.
  • Foster a positive and inclusive atmosphere, ensuring a welcoming environment for students, parents, and staff.
  • Demonstrate a commitment to ongoing professional development and staying up-to-date with school policies, programs, and initiatives.
Qualifications:
  • A strong ability to MULTI-TASK in a fast paced environment.
  • Proven track record of completing high volume demands of tasks and projects.
  • High school diploma or equivalent; additional education or training in customer service, office administration, or a related field is a PLUS!
  • Previous experience in a receptionist or front desk role, preferably in an educational or similar professional setting.
  • Proficiency in using computer applications, including Google Suite (Gmail and Google Docs).
