JOB SUMMARY:

Reporting to the Supervisor, Rent/Lease Administration, this position provides administrative support to the Real Estate Operations.

ESSENTIAL FUNCTIONS

In the event of uncertainty or lack of knowledge of company policies and procedures, associates are required to request clarification or explanations from superiors or authorized company representatives.

Carries out diverse administrative duties including

1. Prepare mail merge for tenant notices and prepare and distribute overnight mail and certified mail.

2. Call landlords and request information in a professional manner and process documents via Adobe Sign.

3. Assist with data management by preparing spreadsheets and organizing lease administration documents on SharePoint and lease administration system.

4. Data entry into lease administration system.

5. Create and manage word documents, spreadsheets, PowerPoint presentations, and other routine, annual, or ad hoc reporting for the department.

6. Scanning, copying, and other administrative tasks.

7. Prepare and log records for transfer to offsite storage.

8. Assist with special projects as needed. Perform other duties as requested by management.

MINIMUM QUALIFICATIONS AT ENTRY

Additional qualifications may be specified and receive preference, depending upon the nature of the position.

Basic Qualifications:

• Previous experience working in an office environment completing administrative tasks required.

• Ability to compose business correspondence in a clear and concise manner.

• Typing/Keyboard for data entry 50+ WPM.

• Proficiency in Microsoft Word, Excel, PowerPoint, Adobe Acrobat and Outlook required.

Education/Experience:

• High School Diploma or G.E.D. and 2 years of administrative, customer service related work experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the Company. Some college preferred.
