Hybrid schedule consists of minimum of three (3) days in the office, either in Paramus, NJ or Boston, MA.

Position Purpose:

The Legal Billing Assistant function is to work closely with in-house attorneys, paralegals, and finance staff to ensure the billing process is performed in a timely and accurate manner. The Legal Billing Assistant will also perform administrative tasks to support the legal team.

Primary Duties/Responsibilities:

  • Billing process is performed in a timely and accurate manner.
  • Open balances are resolved.
  • Costs remain within requisite budgets, which will involve coordinating budget information with accounting and finance professionals across multiple business units.
  • Monthly accruals are prepared accurately.
  • Rate sheets are approved timely.
  • External auditors receive the necessary support on Legal Department accounting matters.
  • Perform other tasks as directed by Senior Director, Legal Operations.
  • Communicating with outside legal firms for all billing enquiries.
  • Perform administrative work for Veolia North America legal team including but not limited to paper and electronic records management, archiving through Iron Mountain (training to be provided).
  • Assist with scheduling of meetings for members of the VNA Legal Department.
  • Process invoices and payment requests.

Qualifications

Education/Experience/Background:

  • A minimum of an Associate Degree or College Degree in Business Administration, accounting or relevant field.
  • Minimum of 5 years professional experience with a 3 years of billing experience required, preferably in the legal field.

Knowledge/Skills/Abilities:

  • Knowledge of electronic billing platforms is required, especially experience with Thomson Reuters Legal Tracker, CounselLink.
  • Ability to produce and understand data analytics, a plus.
  • Ability to maintain confidentiality.
  • Excellent organizational skills.
  • Ability to pay attention to details.
  • Excellent communication skills, both written and verbal.
  • Knowledgeable and proficient with the Microsoft Office Package; specifically, Word and Excel, as well as Google Workspace (Google Docs and Sheets).
  • Ability to work independently, under pressure, and meet deadlines.
  • Ability to make decisions using sound judgment and discretion.
  • Ability to interface effectively with all levels of management.
  • Ability to prioritize multiple work assignments.
  • Ability to contribute to the Legal Department as a team player.

  • CounselLink, Onit, CaseTrack

Physical Requirements:

Job responsibilities will require an individual in this role to travel periodically to coordinate work, projects and to develop working relationships with colleagues throughout the organization.
