Overview

LRP Media Group is currently looking for a Meeting Planner to manage the logistics and all production for a portfolio of assigned conferences and expositions.

The ideal candidate will be detail-oriented and have superior conflict-resolution skills. They will work cooperatively with the conference operations team as well as LRP marketing, customer service, editorial and sales teams. This position offers an opportunity to use several different skills to include negotiating pricing, planning, creating and managing nationally recognized conferences specializing in education administration, education law, education technology, federal employment, and human resources.

This position is open to remote candidates.

Responsibilities

  • Provide detailed planning oversight, management, and production of 3-4 conferences and expositions.
  • Manage logistics, expenses, and all production for assigned events, including pre-meeting planning, budgeting, on-site management, and post-event reporting.
  • Responsible for room set-ups, audio/visual arrangements, registration, telecommunications, food, and beverage selection, BEO/MEO review, conference signage, exposition production, sponsorship fulfillment and shipping.
  • Manage pre-, on-site, and post-event oversight of A/V vendors, telecommunication vendors, special events vendors, security firms, exposition/decorator service contractors, temporary staff agencies and conference speakers.
  • Prepare, develop, and manage budgets for meetings and assist with providing historical data and recommendations.
  • Manage housing for staff, VIPs and conference attendees.
  • Employ and leverage current and emerging meetings- and event-related technologies.
  • Benchmark and implement industry best practices in meetings and events planning, management, and logistics.
  • Serve as main POC between hotel/convention center representatives and all LRP departments at the conference sites.
  • Collaborate with Conference Program Administrator on speaker and conference chairs correspondence.
  • Collaborate with LRP marketing, customer service and trade show sales teams.
  • Actively participate and lead regularly scheduled meetings between all Conference employees.
  • Assist in editing and proofreading conference brochures and other materials.

Position Requirements

  • Bachelor's degree in Hospitality, Meetings and Event Planning, or related field required.
  • 2 years of experience and proven success with all aspects of conference planning and production (pre, on-site and post).
  • 4+ years of experience in hospitality/meeting planning industry.
  • Possess a CMP or in process.
  • Strong computer skills, including high proficiency of Excel, Word, Outlook, Teams, Swap Card and A2Z software.
  • Experience with project Management software, preferably Wrike.
  • Excellent organizational skills and meticulous attention to detail with a proven ability to meet deadlines.
  • Creative and effective problem-solving skills.
  • Ability to prioritize tasks and manage workflow.
  • Ability to work creatively within budget.
  • Ability to respond to problems and to assist event participants and staff in a calm, courteous, and helpful manner and attitude.
  • Strong communication skills.
  • Self-motivated team player.
  • Creating/implementing production schedules, BEOs, MEOs, room diagrams and staff agendas/scripts.
  • Ability to travel, including weekends (About 10-15%).
