A.T. Still University's Missouri School of Dentistry & Oral Health (ATSU-MOSDOH) is seeking a non-exempt CCU/SCU Administrative Assistant at the St. Louis Dental Center. The position reports to all specialists and CCU/SCU Directors. The administrative assistant will provide operational support to the SCU Directors and specialists. They will assist in the performance of ongoing operations and communications for the CCU/SCU Directors and will handle and process confidential information in
a professional manner. As such, they will provide clerical and general office support that contributes to the accomplishment of the goals of the CCU/SCU Directors and specialists. The CCU/SCU administrative assistant will represent the CCU/SCU Directors in a professional manner at all times and will interact with faculty, staff, students, alumni, professional agencies, and other professionals within the academic community and general public.

Major Job Duties

  • Maintaining the calendar for all CCU/SCU Directors and communicating with the Director of Clinical Operations in order to provide reliable faculty supervision on the clinic floor
  • Organizing data and reports
  • Monitoring student attendance on the clinic floor and reporting such to the CCU/SCU Directors
  • Providing assistance with coordination and collection of quality Assurance/Continuous Quality Improvement forms from students and faculty
  • Coordinating internal clinical rotations
  • Communicating with CCU/SCU Directors to optimize clinic efficiency
  • Making travel arrangements
  • Ordering office supplies
  • Processing travel advances, reimbursements, expense reports, etc.
  • Writing and/or finalizing reports, minutes, and correspondence
  • Maintaining files, reports, and records
  • Coordinating meetings, making appropriate reservations and food arrangements, contacting meeting attendees, and preparing associated materials
  • Attending meetings, taking and preparing minutes, and distributing minutes to appropriate personnel
  • Providing assistance with preparation and updating of didactic materials for CCU/SCU Directors
  • Overtime may be required, on occasion

Skills/Requirements

  • A bachelor’s degree is desired or the equivalent combination of education/experience from which comparable knowledge and abilities are acquired
  • Must have excellent computer skills with good working knowledge of Microsoft Word, Excel, Access, and PowerPoint. Knowledgeable of Google email functions, electronic calendars, and Internet search engines
  • Effective time management skills
  • Writing, proofing, and editing abilities
  • Professional office and phone etiquette
  • Willing to work independently and closely with others
  • Be of even temperament
  • Especially be willing to treat students, staff, and faculty in a collegial manner
  • Must be able to juggle several projects while meeting deadlines with strong prioritization abilities
  • Must represent ATSU in a highly professional manner, both internally and externally
