Report Writer and Coordinator, Advancement Data and Analytics - 501754

SUMMARY:

The Report Writer and Coordinator, Advancement Data and Analytics, has primary responsibility for the process of maintaining and reporting from the constituent database. This includes managing the process of data requests (through the Request for Information (RFI) process); report writing; maintaining and improving data; troubleshooting ArachNet (Blackbaud CRM - a constituent relation management system), and providing support for users of the system. This position serves as the central point of contact for Advancement report requests and data updates from across the University. The Report Writer and Coordinator will interface with other areas of campus (Annual Giving, Alumni Relations, Career Services, Athletics, Admission, etc.) as well as the alumni/donor constituent base.

RESPONSIBILITIES:

Report Writing

Serves as liaison with other constituencies as a primary point of contact for all standard and ad-hoc report requests from Advancement and all other University units. Works directly with University constituents to 1) define report requirements 2) resolve any data policy and procedure questions 3) collaborate with Director and Assistant Director on priority and 4) create queries and data extractions to execute requests.

  • Build queries and corresponding mailing lists for solicitation, verification of alumni data, and other communications, involving regular interaction and contact with campus representatives and alumni constituents and their liaisons.
  • Query and export rosters and other summary reports, by request.
  • Triage and escalate special requests to the director and assistant director.

Troubleshooting

Resolve day-to-day administrative and operational issues. Triage incoming requests, collaborating with colleagues to ensure prompt turnarounds, utilizing Asana or other similar work management platform. Responds to inquiries and researches and resolves problems related to transactions handled by the unit.
  • Troubleshoot query logic built by other users
  • Collaborate with peer users, sharing best practices for use of the database
  • Evaluate connectivity issues for escalation

Data Updates

Serves as liaison with other constituencies as a primary point of contact on updating constituent and organization records based on regular updates from multiple sources such as NCOA, RNL (phone-a-thon), other systems such as Handshake, Paciolian, and Tessitura, one-off and bulk submissions of data from cross-campus colleagues, as well as directly from constituents and their representatives.
  • Updates the CRM based on communications from advancement staff, alumni and other constituents through both email communication and batch submissions.
  • Perform regularly scheduled data integrity updates as assigned by the assistant director.
  • Update, monitor, and review deceased records and disburse corresponding reports.
  • Identify errors in the data and apply corrections
  • Maintain and update internal data update and process documentation.
  • Verify data with partner offices, such as the Registrar and Admission.
  • Communicate updates to requestors and relevant colleagues.
  • Provide quality control checks of student worker taskings, and ensure updates, returned mail, and scanning are completed in their absence.

Division-Wide and Office Collaboration
  • Collaborate with Director and Assistant Director on special projects.
  • Particularly at peak volume times (calendar year end, fiscal year end, giving day, etc.), may be tasked with assisting the Advancement Operations team to ensure timely and efficient processing of gifts and receipts.
  • Assist with campus-wide alumni events such as Reunion and Homecoming, as needed.
  • Collaborate with colleagues to schedule meetings, particularly for the Advancement Data and Analytics team.
  • Other duties as assigned

QUALIFICATIONS:
  • Understanding of principles of relational databases.
  • Skill in analyzing and organizing data and producing consistently thorough, accurate, and detailed reports.
  • Skill in using Microsoft Office programs, with specific knowledge of Excel formulas and formatting/presentation skills.
  • Knowledge of Blackbaud CRM preferred.
  • Knowledge of SQL and/or Tableau a plus.
  • Critical thinking skills are essential.
  • Ability to prioritize and complete tasks.
  • Organizational skills and initiative, attention to detail, accuracy and excellent judgment.
  • Ability to handle confidential information with discretion.

EDUCATION & EXPERIENCE:
  • Minimum BA or BS.
  • 3 - 5 years of data entry or Advancement Systems experience required.
  • Experience with Blackbaud CRM or other Blackbaud products preferred.

WORK HOURS:
  • Full-time, non-exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
  • Position may require some nights, weekends, and/or holidays for Advancement-related events (Homecoming, Reunion, Family Weekend, etc.) and/or high-volume gift processing times (fiscal year end, calendar year end, Giving Day)

SALARY STRUCTURE:

Pay Grade 4 (Hiring Range: $17.18 to $21.48 per hour)
