This position supports the mission of the MGH-MGPO Center for Innovation in Digital HealthCare (CIDH), which has been established to synergize, facilitate and enable research, operational, and innovation activities in digital healthcare in our hospital setting, to provide a clear voice and a strong identity for researchers, clinicians, and innovators in the digital health space, and to create new funding opportunities to sustain these enterprises.

Under the direction of the VP and CSO, the Administrative Manager will serve as the operational lead in a fast-paced/dynamic environment involving all levels of staff and management for the coordination, implementation, and execution of CIDH's strategy, commitments and goals. The incumbent will serve as the primary point of contact for all finance and administrative operations with first line responsibilities on financial reporting, human resource management, operational policy and procedures, and other special projects assigned by leadership as needed.

The ideal candidate will be collaborative in approach and demeanor and will thrive in a start-up environment where job duties may evolve as quickly as the program. This role requires discretion and judgment to organize priorities, superb communication and an ability to work together with MGH experts and leaders at all levels as well as external clients.

Office environment; Position may require travel to Massachusetts General Brigham hospitals and off-site locations.

May have supervisory responsibilities.

Manage within established Center budget with oversight by VP.

Responsibilities include:

Finance

  • Responsible for the financial functions of the Center.
  • Monitors budgets performance throughout the year; analyzes and reports on financial performance.
  • Responsible for the preparation of operating and capital budgets on an annual basis
  • Conceptualizes and performs a variety of financial analyses (e.g. ROI, business/program development, etc.).
  • Submits and/or approves financial transaction activities (payroll, travel requests, employee salary changes, journal entries, check requests, etc.).
  • Work with VP and CSO to establish business models around revenue collection, distribution, and pricing policies around contracts and service line.
Contract and Grant Management
  • Establish policy & workflow around different contracting models including chief code assignment, Insight approval routing, CTO engagement, involvement of OII, Innovation, and other contracting offices.
  • Monitor and report actual revenue collection and pipeline revenue opportunities monthly for CSO.
  • Identifies, develops, implements and manages administrative functions of Center's new business initiatives.
  • Assist Center faculty in the preparation of grant applications to external funding agencies ensuring compliance with sponsor policies and application instructions. Includes working with investigators to prepare budgets, budget justification, and supporting materials.
  • Work with RM and CTO to establish and monitor active funds and to terminate expired funds.
  • Oversee all vendor contractor engagements including SOW/contract review, materials management submission, PO generation and network access as needed.
Human Resources
  • Oversee the recruitment, hiring, onboarding, and timely performance evaluations of faculty & staff.
  • Reviews salary and wage issues. Implements corrective action as necessary.
  • Using PeopleSoft Manager Self Service, submits and/or approves human resources changes (i.e. salary adjustments, salary distributions, training records, etc.).
  • Submits and approves timesheets in Kronos. Resolves any issues with employee time reporting.
  • Responsible for making managers aware of policy and procedure changes.
  • Ensures all Center staff are fully compliant with all applicable training, regulatory and institutional standards.
  • Processes and manages administrative tasks for non-employees including contractors, students, temps, and observers.
  • Ensures adequate staffing for including cross-coverage, vacations, and leaves of absence.
Operations
  • Develops, implements, oversees and approves Center policies, procedures and systems and revises as necessary to maximize efficiency.
  • Resolves administrative questions/issues/problems.
  • Responsible for the development and monitoring of Center indicators set forth to meet goals. Monitors monthly performance metrics and develops and implements strategies for improvement.
  • Assembles working groups to handle special programs and events.
  • Responsible for Center facilities and environmental issues. Oversees space allocation, renovation projects, etc.
  • Serve as resource for questions related to information systems. Arrange for hardware/software installation, troubleshooting, system access, etc.
Strategic Planning
  • Work with Supervisors to prepare high-level strategic financial planning based on annual operating and capital budgets
  • Forecast revenue including strategic planning of funding opportunities (Internal, Research, Industrial, Philanthropy).
  • Work on program-wide projects and assumes responsibility for or participates in special projects as assigned by Supervisors.Marketing
  • Manage and maintain Center's internal website with support from project managers.
  • Work collaboratively with leadership team to develop and implement internal communication plan.
  • Work with Marketing and Public Affairs to draft press releases regarding major Center events, milestones, etc.
  • Create and update press kit for Center initiatives.


Qualifications
  • Bachelor's degree required. Master's' Degree preferred;
  • Requires 3-7 years progressive experience in financial and administrative management in a large academic hospital setting
  • Effective financial and analytical skills, including budget development, grant and contract management (including strong grounding in general accounting principles, and financial tools).
  • Strong, interpersonal, and leadership abilities
  • Ability to communicate effectively both orally and in writing.
  • Take initiative to problem solve and can work independently
  • Ability to provide support, direction, and development to staff
  • Ability to handle sensitive and confidential matters discreetly
  • Excellent attention to detail
